Scope

This Policy applies to the WebotX website, public demo, application, account features, website widget, and support. Read it together with the Terms of Service.

Information we handle

Account information includes your name, email, verification status, and the policy versions and time recorded when you accept the signup agreement. One-time codes are stored as hashes.

Website information includes URLs, captured page content, page summaries, approved knowledge, assistant settings, and preview screenshots.

Conversation information includes questions, replies, cited sources, conversation status, and messages sent through human handoff.

Technical information can include IP addresses, browser details, request timestamps, session and security tokens, diagnostic records, and AI usage such as token counts.

How information is collected

Information is provided by account owners and chat visitors, captured from public pages selected for the service, and generated through use of WebotX.

Do not submit passwords, payment card details, or sensitive personal information that is unnecessary for your question or business knowledge.

How information is used

We use information to authenticate accounts, capture website content, prepare and review knowledge, generate chat answers, display sources, provide human handoff, operate the dashboard, deliver verification emails, prevent abuse, diagnose problems, and support service reliability.

Signup agreement records document the versions of the Terms and Privacy Policy accepted when an account is created. They do not subscribe you to marketing emails.

Processing and sharing

Website content and chat questions may be sent to AI providers as needed to generate summaries and answers. WebotX currently uses AWS Bedrock for these features. Infrastructure and email providers also process information needed to operate the service.

Conversations in an installed website widget can be viewed by the business operating that assistant. That business is responsible for its own handling of visitor information.

Information may be disclosed when required by law or to protect users and the service. Providers may process information in countries other than your own.

Cookies and browser storage

WebotX uses cookies for authenticated sessions and request security. Browser storage holds settings and tokens needed for the public demo and website widget.

The public demo stores its session credentials in your browser’s session storage. Disabling necessary cookies or storage can prevent sign-in or chat features from working.

Storage and retention

Public demo sessions expire after two hours. An hourly cleanup removes expired demo sessions, their messages, and stored screenshots. Related AI usage records are removed with the demo session.

Unverified email challenges expire after ten minutes and are cleaned up after they have been expired for a day. Resending a code replaces the previous challenge.

Account information, approved website knowledge, and business conversations are retained to operate the account and service. Contact the WebotX team to request deletion. Diagnostic logs and backups may remain for operational, security, or legal needs.

Security

We use access controls, hashed one-time codes, rate limits, and session security to protect the service. No online service can guarantee absolute security.

Keep your email account secure and never share a sign-in code with another person.

Your choices and rights

You can review, edit, approve, exclude, or revoke website knowledge through the dashboard. Depending on applicable law, you may request access, correction, export, restriction, or deletion of your personal information.

For questions about a conversation on another business’s website, contact that business. For information held by WebotX, contact the WebotX team and provide your account email so we can verify your identity.

Young users

If you are not legally able to consent where you live, use WebotX only with permission from a parent, guardian, or another authorised person. Contact the team if you believe information has been provided without required permission.

Changes and contact

This Policy may be updated when features, providers, or privacy practices change. Material changes will be presented through the service or another reasonable channel.

Questions or privacy requests can be sent to support@webotx.com.
